Process for Editing an Order in Shopify
FYI - DO NOT edit own picture/personalized items as the picture will get lost, for these orders, you will need to cancel the order IF it only includes this product OR delete the item out of the order and inform the customer they will need to reorder.
Step 1: Determine if the Order Can Be Edited
- Log in to your Shopify admin dashboard.
- Navigate to the order
- Check the order's status:
- Unfulfilled Orders: Can be edited directly.
- Fulfilled Orders: Cannot be edited; instead, you'll need to manage the situation manually by refunding or invoicing additional amounts separately.
- If the order is fulfilled, inform the customer changes can no longer be made
Mail template to use => edit order request (invalid)
Step 2: Edit the Order
- Open the selected order.
- Click the More Actions dropdown menu and select Edit Order.
- Make Changes to the Order:
- Add Products: Use the search bar to find the product(s) you want to add.
- Remove Products: Click the trash icon next to the product you want to remove.
- Update Quantities: Adjust the quantity field for each product as needed.
Step 3: Review the Price Adjustment
- Shopify will automatically calculate the price difference based on your changes.
- Check whether the final price is higher or lower than the original order total.
Step 4: Handling Price Adjustments
A. If the Price is Lower
- Tag @katja in an intelnal note to inform the order has been adjusted and a refund need to take place.
- Inform what has been adjusted so katja knows what to refund
B. If the Price is Higher
Shopify will prompt you to request payment for the additional amount.
Click Send Invoice to send a payment request to the customer:
- Include the updated order details in the invoice.
- Ensure the customer can apply any valid discount codes if applicable.
Communicate with the Customer:
- Inform the customer about the price difference and explain why the adjustment is needed.
- Share the payment link for the additional amount via email.
- Inform the customer that the order will only be fulfilled once the outstanding balance is paid

Step 5: Confirm the Changes with the Customer
- Send an email to the customer confirming the order changes
