When a customer sends us photo(s) of their finished diamond painting or paint-by-number, in order for us to use it for promotional purposes, follow the steps below to ensure compliance and proper organization:
Step 1: Ask for Customer Permission
Respond to the Customer
Politely ask for their permission to use their picture for promotional purposes. Use the following template:Dear [Customer Name],
Thank you for sharing your beautiful artwork with us! We would love to feature your picture on our social media or website to inspire others. Would you be okay with us sharing your photo?
Please let us know if you’re comfortable with this. Thank you!Wait for Confirmation
- If the customer agrees, proceed to Step 2.
- If the customer declines, thank them and ensure their photo is not used.
Step 2: Save the Picture in the Correct Drive Folder
Access the Drive
Open the shared drive using this link: Google Drive Folder.Locate the Shop Folder
Navigate to the folder of the shop where the customer placed their order.Save the Picture
- Upload the image to the appropriate folder.
- Rename the file with the following format:
[SKU]_[OrderNumber]
Example: SKU123_#56789
Double-Check the File
- Ensure the image is in the correct folder.
- Verify that the file name includes both the SKU and order number.
Important Notes
- Permission is Mandatory: Never use a customer’s photo without explicit approval.
- Respect Customer Wishes: If a customer has any restrictions (e.g., "no social media"), ensure those are followed.
- Keep Files Organized: Accurate naming and folder placement are crucial for easy access by the marketing team.
