Guidelines for Contacting Colleagues and Shop Management

To ensure smooth collaboration and efficient task handling, please follow the guidelines below when tagging colleagues, reaching out internally, or managing shop-related communication.


1. Tagging & Reaching Out to Colleagues

Preferred Communication Channels

  • Use Slack or internal notes in Gorgias to contact or tag colleagues.

  • Do not contact shop owners unless it is an emergency.

  • Always choose the most appropriate channel to avoid unnecessary interruptions.


2. Sending & Scheduling Messages (Slack)

You can send messages immediately or schedule them to be delivered later. Unsent messages are automatically saved as drafts.

How to Send or Schedule a Message

Desktop / Mobile

  1. Open the channel, DM, or thread.

  2. Click the message field.

  3. Type your message and add attachments, emojis, mentions, or formatting if needed.

  4. Press Enter to send immediately
    or
    Click the arrow next to the paper plane icon to schedule the message.

💡 Tip: To create a new message from anywhere in Slack, click the ➕ plus icon and select Message.


3. Managing Draft, Scheduled & Sent Messages

Desktop / Mobile

  1. Click Drafts & Sent at the top of your Slack sidebar.

  2. Choose between:

    • Drafts

    • Scheduled

    • Sent

You can:

  • Edit or delete drafts and scheduled messages

  • Click a sent message to jump directly to the conversation

💡 Tip: To delete drafts in bulk, click Edit, select the drafts you want to remove, then choose Delete.


4. Reading New Messages

  • A bold channel or DM in the Home tab means there are unread messages.

  • Click Unreads at the top of the sidebar to view all unread messages in one place.


5. Sickness Notification

  • If you are unwell, notify your Customer Service Manager immediately via Slack or WhatsApp.


6. Holiday Planning

  • Inform your Customer Service Manager of any holiday plans at least one month in advance.
